Contract Item Ad-Hoc:
Builterra’s new Contract Item Ad-Hoc Report provides a powerful way to track contract item activity with ease. This dynamic reporting tool allows users to generate customized insights into item usage, progress, and costs, ensuring greater transparency and control over contract administration. With real-time data access and flexible filtering options, project teams can make informed decisions and streamline workflow efficiency like never before.

Change Order Layout:
We're updating the layout of the Change Order section to make things more intuitive! Now, you can easily distinguish between Contemplated Change Orders and Approved Change Orders, as each will have its own separate heading in the tree-view. Inside each Change Order, you'll find CO tables for adding pay items. Prefer viewing these tables as tabs? You can do that by selecting the appropriate tab from the main Change Order file—just like in the example below!

Inspection Portal Account Filter:
Our new Inspection Portal Account Filter feature allows you to easily filter inspections based on the selected account. This makes it simpler to track, manage, and review inspections for specific clients or projects, ensuring you can quickly access the most relevant information without sifting through unnecessary data. Stay organized and keep your inspection workflow efficient with this powerful new tool!

Document Portal Workflow (ITP):
The Document Portal ITP (Inspection Test Plan) workflow allows users to streamline document approvals by creating a specific folder within the project's document module and deploying a workflow tied to that folder. When a file is uploaded to the designated folder, it automatically triggers the workflow, sending the document to subscribed users for their approval. This process ensures that critical documents are reviewed and approved efficiently, keeping your project on track.

Project Approvals:
You can now view all your outstanding approvals within the project portal! Simply select an item to load a preview of the document. From there, you can easily approve, reject, or download the file for further inspection.

Project Insights:
We are excited to announce our new AI-assisted tool - Project Insights! Within your Project Dashboard, Project Insights looks at inspection data and generates a summary of relevant remarks and comments. This new feature ensures you stay informed with the most significant updates, streamlining communication and enhancing project management. Although this tool is meant to provide you with project insights, for comprehensive and accurate information, always refer to the full project documentation and reports.

Inspection Review Status Updates:
Stay on top of your inspection process with Builterra's latest status update feature! Our enhanced inspection review workflow now provides detailed status updates at every critical stage: from 'created' and 'processed' to 'delivered', 'opened', and 'approved'. This comprehensive tracking system ensures you have real-time insights into each step, allowing you to monitor progress, address issues promptly, and maintain compliance with ease. With Builterra, managing your inspection reviews has never been more efficient. Keep your projects on track and your inspections thoroughly managed with our latest workflow enhancements.

Data Management:
Did you delete something by accident? Don't worry! Builterra empowers account admins with the ability to recover deleted project or inspection data, ensuring peace of mind and data integrity. But that's not all—our latest update also allows for the seamless transfer or copying of photos across inspection reports, making data organization a breeze.

Enable Bidding System:
Enable Bidding System allows you to easily decide whether you want to upload historic pricing or create a tender that's yet to be bid on. By choosing to enable the bidding system, you indicate that your project is live and not historic. If you already have your bidder pricing, you can keep this option unchecked.

Drag & Drop Tender Builder:
We've introduced a new feature to streamline your tender-building process: the Drag & Drop Tender Builder. Now, you can easily create tenders by simply dragging and dropping tables across all catalog sections. This feature includes dynamic table enumeration, making it even easier to organize and customize your tenders. Upgrade your tender-building experience with Builterra's Drag & Drop Tender Builder and try it out today!

Stale Date Override:
We're excited to announce a new feature for Builterra members: Stale Date Override for project Cost Estimation. This feature allows users to manually override the stale date for cost estimation, providing more flexibility and control over the estimation process. Now, you can ensure that your cost estimates remain accurate and up-to-date, even for items with older data!

Real Time Tender Preview:
Builterra now offers a real-time tender preview! This functionality allows members to visualize their tender cost sheet as they build it, providing an unprecedented level of transparency and control. Users can see exactly how each element they add impacts the overall cost, enabling them to make informed decisions and adjustments on the fly. This real-time preview not only enhances accuracy but also streamlines the tendering process, saving valuable time and ensuring that final submissions are error-free and optimized.

Form Configuration Sketch Blocks:
Builterra's DWG sketch blocks feature offers members a convenient solution for Subsurface Utility Locate Forms. With this functionality, users can easily upload DWG drawings directly into Builterra. By integrating DWG drawings, users can accurately map out utility locations and visualize them within the platform. This feature enhances efficiency and accuracy in utility locate documentation, ensuring that all necessary information is captured and documented effectively.

Provisional Pay Items:
We begin 2024 with another impactful implementation. Now, when creating tenders, you have the flexibility to designate pay items as provisional. This enhancement enables your field inspectors to inspect these items, seamlessly integrating them into an existing tender table, all while keeping the overall contract budget intact. It's a game-changer for your workflow!

Progress Payments in PDF:
If you've been converting your excel Payment Certificate to PDF after exporting it out of Builterra, you no longer have to! You can now export Payment Certificates using PDF format. Simply click on the PDF icon in the PC Portal and you're all set!

Ad-Hoc Pay Item Tracking:
We're thrilled to introduce our new Ad-Hoc Report Object for Contract Items! Builterra members can easily set up automated reports and alerts to track inspected contract item quantities throughout the project life-cycle. Stay on top of your game and never miss a beat with our user-friendly solution.

Full Project Template:
If you need to make mass edits to project details, then this update is for you! Using Builterra's full project template, our users can now adjust project details across all projects using our CSV export/import options. Take advantage of this feature to streamline your project management efforts!

Tender Analysis:
Prior to submitting your tender for review, make sure to click on our newly implemented Tender Analysis button! This option will let you know if you have tables with missing quantities, units, long descriptions and much more. Old Web Portal UI Phased Out:
As you may already know, we've officially switched to the latest and greatest portals for both projects and inspections. All feedback from our amazing Builterra members are welcomed!

Project Theming:
We're thrilled to announce a dynamic feature that empowers users to set their preferred project themes locally without the need for an account-wide update. At Builterra, we understand the importance of personalization, and this enhancement is designed to offer you a more tailored and flexible experience.

AutoCAD Extensions Supported:
We're excited to announce our latest capability of allowing AutoCAD files to be opened in our Document Repository. Users can now access AutoCAD files directly within our platform, allowing you to host all your files in one, centralized location. This includes, but not limited to the following formats; DWG, DWS, DWT, DXB, DXF, etc. Furthermore, you can share or send these files through the appropriate workflows. Tender Spec Editing:
Our latest Tender implementation allows users to edit specification local to the project and tender. With this feature, you can avoid global specification edits, and only update the specification where needed, depending on project variables. Change Order Workflow:
Builterra is excited to introduce our newly implemented Change Order workflows, designed to enhance project efficiency and streamline the change management process. With our platform, you can now set up project-based Change Order workflows, allowing for a seamless transition from change identification to approval and implementation. Our intuitive interface enables you to easily manage and track Change Orders, ensuring clear communication and accountability among project stakeholders. Additionally, we have added a new feature that allows you to request a quote on Change Order items directly from contractors, providing greater transparency and cost control. Cost Sharing:
Builterra's cost sharing capabilities are mostly unnoticed by majority of our users. Our cost sharing system allows for greater flexibility and control over project finances. With the ability to set up responsible accounts for payment of specific tendered line items, project managers can more easily track and manage project costs. This feature is particularly useful for larger projects where multiple stakeholders are involved, as it ensures that each party is responsible for their respective costs. Workflow Portal:
Perhaps the most powerful yet underrated and underutilized aspect of Builterra is our Workflow Portal. The workflow portal allows users to ask other individuals for approvals in our new and updated portal style. The approver can also add comments to their answer of accepting or rejecting an approval. To utilize the portal, you will now need to add requestees to the workflow item; these are the individuals you need approval from to continue the items' progression. Mobile App Updates
Copy Current Inspection:
With the Copy Current Inspection feature in Builterra Pro, managing recurring daily inspections just got a whole lot easier! Now, instead of re-entering the same data for each inspection report, you can simply copy today’s inspection to deploy it for tomorrow. This means that all of the details and data from your current inspection will automatically transfer to a new report, saving you time and effort. Just make any necessary adjustments for the day, and you’re ready to go! This feature is perfect for users who need to perform routine inspections on an ongoing basis and want to maximize efficiency.

Sub-Inspection Drafts:
Make sure you submit all draft sub-inspection entries. If you're unsure what this means, below is a demonstration of how to access all your unsubmitted drafts. Keep in mind, unsubmitted drafts will not appear on your report output until submitted!

Refresh Server Side:
We understand the importance of efficiency to our Builterra members. For that reason, we have developed inspection Templates to help you add multiple daily recurring items (i.e. Equipment and Labour) in one easy step. Make sure to refresh the serve side of the sub-inspection table to view all Template imported items!

Frequently Asked Questions
Project Sub-Folders: "How do I create a project within a specific sub-folder?"
If you find yourself struggling to figure out how to create projects and place them within a specific sub-folder, read on to find the simple solution to your dilemma. First, start by locating the Project Portal. You can find it on your log-in screen, if previously set as a favorite, or from the main menu by hover over 'Portal', then 'Project', and clicking on 'New Project.' From there, locate the drop down menus titled "Major Group" and "Minor Group." Sub-folder structure can be setup by an individual with the appropriate permission levels. Look out for a future update allowing you to rename this sub-folder structure!

Password Reset: "How can I reset my password?"
With all the passwords we create, forgetting one is commonplace and bound to happen. If you need help resetting your password, the following videos will do the trick, depending on your permission level. You can also avoid creating a new password by logging in with your Microsoft account (video link below):

Security Alert
SOC 2 Type II Audit:
Builterra completed its SOC 2 Type II audit for 2023, performed by KirkpatrickPrice. This attestation provides evidence that Builterra has a strong commitment to security and to delivering high-quality services to its clients by demonstrating that they have the necessary internal controls and processes in place.
A SOC 2 audit provides an independent, third-party validation that a service organization’s information security practices meet industry standards stipulated by the AICPA. During the audit, a service organization’s non-financial reporting controls as they relate to security, availability, processing integrity, confidentiality, and privacy of a system are tested. The SOC 2 report delivered by KirkpatrickPrice verifies the suitability of the design and operating effectiveness of Builterra’s controls to meet the standards for these criteria.

2FA - Two-Factor Authentication Enforcement:
As an added measure of security, we've recently implemented a 2FA(Two-Factor Authentication)! This security measure is currently optional but will be enforced in late 2023. More details on the exact date will be provided in the next few months. If you haven't done so already, enable this feature right from within your Manage Profile section, as shown below. There are two options for this measure; an email or text with 1 time code. In order to set up the text option, your phone number must be added to your profile page. Keep in mind, this feature does not affect users using their Microsoft Login for logging into Builterra. For more information, reach out to Support@Builterra.com!

Phishing is an attempt by cybercriminals posing as legitimate institutions, usually via email, "Smishing" (a.k.a. phishing texting), and "Vishing" (a.k.a. phishing phone calls) to obtain sensitive information from targeted individuals. In other words, you receive an email which claims to be from Builterra asking you to reset your password. This is an example of a 'phishing attack.' Keep in mind, we will never ask you for your account password over email or phone. If you do receive such emails asking for sensitive account information, it is not from us, so do not respond, and contact our support team to let us know. Be on the lookout and stay safe!
